Find out why a Zoho CRM workflow rule did not run

The Zoho CRM AI Assistant reads a workflow rule's trigger and criteria, its usage counts and the record's history, and explains the likely reasons it did not fire. It only reads, and changes nothing.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The rule should have fired, and nothing happened

A deal was won and the task the rule creates never appeared. Someone asks whether the rule is broken, switched off, or just did not apply to that deal. Finding out means opening the rule, reading its conditions, checking the deal's history and comparing the two by hand.

the solution

Name the rule and the record, read the explanation

Name the rule, or the module and what it should do, and the record where it did not run:

The workflow "Deal won notice" did not create a task on the deal Warehouse renewal last week. Why might it not have run?

It finds the rule and reads its trigger, its criteria and its actions, and whether it is active. It reads the rule's usage for a date window of up to 90 days: how many times it was triggered, how often its conditions matched, and how its actions succeeded or failed. Then it reads the record's timeline, who changed which field and when, and through which source.

It puts these side by side and lists the likely reasons, such as a trigger that only fires on create, a condition the record did not meet at the time, or a rule that was inactive.

  • Reads the workflow rule, its usage counts and the record's timeline.
  • Writes nothing. It cannot rerun a rule.
  • Usage counts are totals for the rule, not per record. Zero triggers does not prove a record did not match.
