Turn off an old workflow rule in Zoho CRM

The Zoho CRM AI Assistant finds a workflow rule by name or module, shows what it does and how often it ran, and switches it off once you approve. It does not delete the rule.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

An old rule keeps sending reminders nobody wants

Reps keep getting a reminder email nobody remembers asking for. Someone set up a rule years ago, the process changed, and now nobody is sure which rule sends it or whether anything else depends on it. Deleting it feels risky; leaving it on is annoying.

the solution

Find the rule, see what it does, switch it off

Describe the rule, by its name or by what it does:

Find the old reminder workflow on Deals that emails owners about closing dates. Show what it does, then switch it off. Do not delete it.

It searches the workflow rules on the module and opens the one that matches: its trigger, its criteria and its actions, such as the email notification it sends. It can also read how often the rule ran recently. When you approve, it switches the rule off and reads it back to confirm it is inactive.

The rule, its actions and its email template stay in Zoho. You can switch it on again later. If the rule has scheduled actions already waiting to run, the approval says whether they are kept or removed.

  • Reads workflow rules, their actions and their usage counts.
  • Writes one change, the rule's active setting, only after you approve.
  • Does not delete the rule. Deleting is a separate request, is permanent, and always asks for a final confirmation.
  • If several rules match your description, it lists them and asks which one you mean.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open Zoho CRM Setup and go to Workflow Rules.
  2. Filter by module and look through the rules for the one that sends the reminder.
  3. Open each candidate to read its trigger and actions.
  4. Switch the right one off.

Switching a rule off is one click. Finding the right rule among many, by what it does rather than its name, is where it gets slow.

Frequently Asked Questions

No. It switches the rule off and keeps it, with its actions. Deleting a rule is a separate request, and it is permanent, so it always asks for a final confirmation, even in Full access.
