Find Zoho CRM deals with a past closing date

The Zoho CRM AI Assistant lists open deals whose Closing Date has already passed, with owner and last activity. Once you approve, it creates a task for each owner to confirm a new date, or sets the dates you give it.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The forecast counts deals that should have closed last month

A deal’s closing date was set months ago and passed without anyone touching it. It still counts in this month’s forecast as if it were on track. The owner may know it slipped, but the CRM does not, and the forecast is only as good as those dates.

the solution

List the overdue dates. Ask the owners. Approve.

Ask for open deals whose closing date has passed:

Find open deals whose closing date has passed. Show the owner and last activity. After I confirm, create a task for each owner to confirm a new date.

The assistant reads open Deals with a Closing Date before today, and shows each with its owner and Last Activity Time, so you can see which are quiet and which are simply out of date.

Nothing is written until you approve. You choose one of two things:

  • Ask the owners: it creates one task per owner, listing their deals, to confirm a new date.
  • Set the dates yourself: you give the new date for each deal, and it updates Closing Date on those deals only.

It never picks a new closing date on its own.

  • Reads open deals, their closing dates, owners and last activity.
  • Writes tasks, or the closing dates you specify, only after you approve.
  • Changing more than 20 deals at once asks for a final confirmation.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the Deals module and create a custom view.
  2. Set the criteria: Closing Date is before today, and Stage is not a closed stage.
  3. Add the Deal Owner and Last Activity Time columns.
  4. Ask each owner for a new date, then edit each deal or use Mass Update for deals that share one date.

The view is quick to build. Getting a real date for each deal means chasing every owner, and Mass Update only helps when many deals move to the same date.

Only the ones you give it. If you ask for tasks, it creates tasks and leaves every date as it is. If you give new dates, it updates Closing Date on those deals only, after you approve.
