Save your deal stage definitions for Zoho CRM

Write down what each deal stage means for your team, such as "Proposal = pricing sent", and the Zoho CRM AI Assistant saves it as shared knowledge. Later requests use those meanings, and you can change or remove them at any time.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

Everyone reads the stages differently

One rep moves a deal to Proposal when the pricing is sent, another when the scope is agreed. The pipeline report mixes both, and every new colleague learns the difference by asking. Zoho CRM holds the stage names, but not what your team means by them.

the solution

Write the definitions once, and later requests use them

Tell it what each stage means and ask it to save the definitions for the team:

Save our deal stage definitions for the team. Qualification = budget and need confirmed. Proposal = pricing sent. Negotiation = legal or procurement involved. Check the names against our Stage field first.

It can read the Stage values on Deals to match your short names to the exact stages, and saves the definitions as a note shared with your team. In later requests, such as "which deals are in Proposal without pricing sent", it reads the note and uses those meanings.

Saving the note is not a change to your CRM, so it does not wait for approval. The stages in Zoho stay as they are.

  • Reads the Stage values on Deals, when you ask it to check the names.
  • Writes a note with the assistant, not in Zoho CRM. Nothing in your CRM changes.
  • Shared with colleagues on the same Zoho profile. Colleagues on another profile do not see it.
  • The note records meanings, not stages: if a stage is renamed in Zoho, update the note too.
